QUALICUM BEACH RESIDENTS’ ASSOCIATION RULES
GENERAL MEETINGS
1. Attendance
(a) All members are expected and encouraged to attend and enter discussion.
(b) Only members in good standing will have any motion or voting privileges.
3. Other General Meetings will be called for by the Directors if and when they are considered necessary to deal with specific issues that might arise.
4. Any Member may request the Directors to call a General Meeting for any specific purpose, which the Director’s will do if they consider the subject to warrant attention and is beyond their authority at a Director’s meeting.
5. The Directors will call a General Meeting within 21 days of receiving a written request for same, signed by 10% or more of the voting members of the association, with the request to contain the purpose(s) of the meeting.
6. Any Member or Non-member resident wishing for any particular matter to be brought up at a General meeting should give the Directors sufficient prior advice of same to ensure that it gets included and dealt with on the agenda and that proper notice to the membership may be given as required by the B.C. Society Act if applicable.
7. The following matters shall be placed on the agenda of the Annual General Meeting;
(a) acceptance of the reviewed year end financial statements as at the preceding August 31 st of the same year.
(b) the election of Directors
(c) perusal and ratification of Rules, including any changes to same
(d) any other business normally required of a General Meeting
DIRECTORS MEETINGS
8. Attendance
(a) all Directors are required to attend
(b) all members are welcome and may enter discussion, although they will have no voting privileges, and if they wish to present a matter at the meeting, prior advice should be given to ensure that such matter gets included and dealt with on the agenda.
(c) all residents, members or not, may make prior written submissions to any meeting for the Director’s attention and action, and depending on the content of such submissions, the writer may be invited to attend either a Director’s or General Meeting to better deal with the matter raised.
9. Directors Meetings will take place once a month at a date, time and place as the Directors determine.
10. Additional Director’s Meeting can be called through the Secretary by any Director at any time considered necessary to deal with any specific matters of urgency, including those brought to their attention by any resident, member or not.
SOCIAL MEETINGS
11. Other social meeting will be entertained as our budget and circumstances permit and any suggestions from the membership in this regard are welcomed by the director, even if no official business would be normally be planned to be conducted.
DUES
1. Annual membership dues are for either “Individuals” or “Family”.
2. “Family“ memberships include all immediate adult members of the same family living together at the same residence.
3. Dues are $15.00 per year, or $40.00 for 3 years, and expire on the last day of the month that the member last paid for in their previous membership payment and fall due for renewal on the first day of the month following their original joining date month.
NEWSLETTERS
1. Newsletters will be sent by hand delivery, postal or electronic mail to communicate to the members on matters being dealt with or under current consideration by the board and to advise of any upcoming issues, events and meeting schedules, or any other matters of possible interest, or to obtain your thoughts on such matters.
2. Members are encouraged to advise the Directors of any matters, or topics, etc. for the good of the Association which they consider may be deserving publication to the membership.
3. In the interest of reducing costs in stationery and postage, the Directors request that members with Email please accept these newsletters on their computer if they have one. Those without will be sent by postal mail, but their feedback is certainly still welcome.
